Payroll Supervisor Full-time | Permanent | Hybrid (office-based days negotiable)
A large, multi-site organisation within the care and education sector is seeking an experienced Payroll Supervisor to oversee payroll operations for their Children's division. This is an excellent opportunity for someone with strong end-to-end payroll knowledge, supervisory experience, and a passion for developing others.
About the Role
As Payroll Supervisor, you will be responsible for ensuring the accurate and timely delivery of payroll for the Children's division. You'll provide line management to a small team of Payroll Administrators, act as the first point of escalation for payroll queries, and ensure full compliance with statutory requirements, pension regulations, and internal policies.
You will play a key role in maintaining high standards of accuracy, supporting continuous improvement, and contributing to wider payroll projects and system developments.
Key Responsibilities Team Leadership & Support
- Line manage 1-2 Payroll Administrators, providing guidance, coaching, and day-to-day support.
- Act as the first escalation point for complex payroll queries.
- Oversee workload allocation and ensure deadlines and quality standards are consistently met.
- Review payroll outputs prepared by the team for accuracy before submission.
Payroll Processing
- Manage the full end-to-end payroll cycle for the Children's division.
- Complete monthly HMRC reconciliations (PAYE, NIC, student loans, deductions).
- Ensure accurate and timely RTI submissions.
- Oversee annual processes including year-end returns and P60s.
Mailbox & Query Management
- Manage and organise the payroll mailbox, allocating queries to the appropriate team member.
- Monitor outstanding queries to ensure timely and professional responses.
- Escalate complex or unresolved issues where appropriate.
Reporting & KPIs
- Collate payroll KPIs and prepare regular reports to support managerial decision-making.
- Provide ad-hoc payroll data and analysis to HR, Finance, and Operations.
- Identify trends and recommend process improvements.
Pension Administration
- Lead on administration and compliance for the Teachers' Pension Scheme, including monthly/annual submissions and audit preparation.
Support to the Payroll Manager
- Assist with strategic payroll projects, system changes, and organisation-wide initiatives.
- Provide cover and deputise when required.
- Support the design, testing, and rollout of new payroll processes and controls.
Skills, Knowledge & Experience Required
Essential
- Strong experience managing payroll within a large or complex organisation.
- In-depth knowledge of UK payroll legislation, HMRC compliance, and pensions.
- Experience administering private pension schemes.
- Proven supervisory or team leadership experience.
- Confident using payroll software and Microsoft Excel.
- Strong problem-solving skills and the ability to handle complex queries.
- Excellent communication skills, able to explain payroll matters clearly to non-specialists.
Desirable
- Experience with Teachers' Pension Schemes.
- Knowledge of i-Trent or similar payroll systems.
- Experience in a Deputy Payroll Manager or Supervisory role.
- Background within care, education, or other multi-site environments.
- Experience supporting audits and process improvement initiatives.
