Administrative Assistant

LHH Recruitment Solutions is currently seeking an Administrative Assistant who will provide essential support to ensure smooth office operations. This role involves managing calendars, coordinating meetings, handling general office tasks, and maintaining kitchen and common areas. The ideal candidate is organized, proactive, and comfortable multitasking in a fast-paced environment.
Responsibilities:
- Manage calendars for executives and team members, including scheduling meetings across time zones.
- Coordinate meeting logistics, prepare agendas, and distribute materials in advance.
- Handle calendar conflicts and last-minute changes efficiently.
- Serve as the first point of contact for visitors and incoming calls.
- Monitor and order office supplies; maintain inventory of event and cleaning supplies.
- Ensure mail distribution and outgoing correspondence are timely and accurate.
- Assist with expense reports and timesheet processing as needed.
- Maintain cleanliness and organization of kitchen and common areas.
- Stock fridge, coffee station, and pantry; manage dishwasher and supplies.
- Coordinate catering for meetings and company events.
- Prepare presentations, meeting notes, and reports.
- Update and maintain internal databases and shared folders (e.g., SharePoint).
- Support ad hoc projects and assist various departments as needed.
Qualifications:
- Minimum 2–3 years of administrative experience; prior experience in office management preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- 9:00-5:00pm
- Monday through Friday
- 100% in office
- Temporary/Contract
Pay Details: $30.00 to $35.00 per hour
