Administrative Assistant
Accounting & Finance
Location: Two Union Square
Schedule: Full-time, on-site | Monday–Friday, 8:00 AM–5:00 PM (one-hour lunch)
We’re looking for a Sr. Administrative Assistant to provide advanced administrative support in a professional services environment with a strong focus on tax administration. This is not a tax preparation role, it’s about managing processes, paperwork, and systems with precision and confidentiality.
Top Priorities (First 90 Days)
- Learn and navigate the tax system and internal processes quickly.
- Handle tax administration tasks such as processing paperwork, applying signature fields, and using internal platforms (e.g., Userverse).
- Support engagement letters and client outreach letters during peak season.
- Process and e-file tax returns; prepare and send engagement letters.
- Manage mailing and scanning tasks with accuracy and timeliness.
- Provide high-level administrative support to multiple leaders, including confidential tasks.
- Generate complex reports using Microsoft Office Suite (Excel-heavy) and other tools.
- Champion new processes and assist with training administrative team members.
- Collaborate across departments and support centralized administrative requests.
- Microsoft Office Suite (advanced proficiency required).
- DocuSign and internal systems for tax administration.
- High School Diploma, GED, or equivalent (required); Bachelor’s degree preferred.
- 4+ years of administrative experience in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite (Excel expertise required).
- Ability to learn new systems quickly and manage multiple priorities under deadlines.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication with superior grammar and professionalism.
- Ability to work independently, maintain confidentiality, and exercise sound judgment.
- Collaborative team player with a customer-service mindset and adaptability.
Pay Details: $33.65 to $36.05 per hour
